IT & CRM Assistant

The IT & CRM Assistant (IC) role for American Home Buyer is an exciting entry level position, primarily responsible for the company’s general IT functions and for assisting with the management of our CRM (Salesforce) and various programs. As IC, you will work closely with the Marketing Director and get to learn and assist in managing a wide range of programs, including maintaining the company websites, building dashboards and reports, and tracking results in various social media accounts.

This is a permanent and full time, in office position, at our Houston office located just off Hwy 290 & Loop 610. Typical schedule is 8:30-5:30, Monday through Friday.

Responsibilities

This position is responsible for but is not limited to:

  • CRM Management (Salesforce):
    • Assist in designing and maintaining our CRM system.
    • Oversee integrations of the CRM with third-party applications like 360sms, MassMailer, Plecto, etc.
    • Manage web-hooks for smooth data flow into the CRM using Zapier and Teams.
    • Implement and maintain CRM backups for data integrity
  • Software Management:
    • Manage, troubleshoot, and integrate various software products throughout the company including Salesforce, Office 365 (Teams, and Outlook), Dropbox, HelloSign, etc.
  • Analytics and Reporting:
    • Assist in developing comprehensive dashboards and reports to track key performance indicators.
    • Monitor & Report on account statistics (facebook, linkedIn, etc)
  • Phone Systems Management:
    • Program and maintain physical phones within the office.
    • Manage Nextiva, 360, and CallRail software alongside desktop phone applications.
  • Website & Marketing Software:
    • Oversee multiple company websites powered by WordPress.
    • Cultivate a strong relationship with our website vendor.
    • Assist in publishing landing pages.
    • Collaborate with SEO vendors to ensure website optimization.
  • General IT Support & Miscellaneous:
    • Maintain and troubleshoot office equipment including computers, printers, Wi-Fi, and Multi-media screens.
    • Document all processes related to this role to ensure continuity and efficiency.

Success Metrics:

  • Troubleshoot & deploy solutions in a timely manner for software and hardware issues.
  • Ensure 100% uptime, backup, and documentation for CRM and associated automations.
  • Deliver timely and accurate reports to management on performance and statistics

Qualifications/Requirements

  • 2 years Tech-Related Experience
  • Tech Savvy
    • Able to learn and adapt to software programs quickly
    • Basic skills handling hardware: hard-drives, printers & networks
  • Experience in managing a CRM (or a strong drive to learn it quickly)
  • Adept with Microsoft Office products
  • Detail oriented with good written and spoken communication skills
  • Excellent problem solving skills
  • Nice to have skills:
    • Website editing
    • Graphic and video editing
    • Excel or comparable spreadsheet skills
    • Blackbelt in Karate (just kidding)
